We seek an Administrative Assistant to join our team!
This role is crucial in ensuring the smooth operations of daily activities by providing administrative, organizational, and procurement support. As part of the Operations team, you will collaborate with multiple departments, manage essential workflows, and contribute to the efficiency of our organization.

Responsibilities

  1. Administrative support

    • Coordinate and manage schedules, meetings, and calendars.

    • Maintain and update records, files, and databases to ensure accuracy and accessibility.

  2. Procurement and inventory management

    • Track and maintain office and operational supplies to ensure inventory levels meet our business needs.

    • Build and nurture relationships with vendors, ensuring timely and high-quality deliveries.

  3. Operational coordination

    • Maintain and update the employee attendance database accurately.

    • Provide assistance on employee-related matters and queries.

    • Participate in various ad-hoc projects and operational improvements (e.g. ISO certifications and implementation, GDPR compliance, etc.).

  4. Facilities management

    • Oversee office equipment maintenance and ensure all service contracts are up-to-date.

    • Ensure shared spaces are organized, well-stocked, and welcoming for employees and visitors.

  5. Event & project support

    • Assist in planning and executing company events, exhibitions, and other special projects.

Job requirements

Must have

  • Bachelor’s degree in Business Administration or a related subject.

  • Preferable 1 year of experience in a similar position.

  • Proficiency in office software (e.g. Microsoft Office Suite) and general computer literacy.

  • Excellent communication and interpersonal skills, both verbal and written.

  • Ability to prioritize tasks and manage time effectively.

  • Fluency in Greek and English.

  • A proactive, problem-solving attitude with a collaborative approach.

Good to have

  • Familiarity with ERP SOFTONE.

  • Experience with ticketing systems or similar workflow platforms.
